The Analyst is responsible for executing and reconciling tasks related to three key operational areas: Client Deposits, Creditor Payments, and Company Transactions. This role ensures accuracy, timely processing, and exceptional support to clients, creditors, and internal departments. The Analyst must maintain precise documentation within company CRMs and contribute to process improvement efforts that support overall organizational goals.
Ensure all customer interactions and financial transactions are accurately recorded in company CRMs (HubSpot and DebtManager).
Independently review client accounts, validating deposits, payments, and overall account accuracy.
Prepare Contract Addendums, ACH/Debit Authorization Forms (RED), and Draft Modification Forms (GREEN) as needed (back-up).
Deliver an exceptional customer experience to creditors, clients, and internal partners.
Provide feedback to supervisors regarding process improvements.
Maintain focus on individual and departmental goals related to client tasks, creditor tasks, and company objectives.
Support broader company initiatives and cross-functional needs.
Generate daily Expected Deposits reports.
Conduct daily Deposit Reminder calls for Active, Waiting for First Deposit, and Promise-to-Pay clients (RED | GREEN).
Initiate deposit reminders via HubSpot according to schedule.
Preauthorize and process RED-state deposits via MerchantOne; update DebtManager (DM) and collect applicable bank fees.
Confirm all GREEN-state deposits processed through CFTPay and flag discrepancies.
Immediately contact clients whose preauthorization failed (new NSF/RED clients).
Make daily calls to NSF and NSF-First Payment clients.
Schedule and reconcile settlement payments for DFUSA / DF.
Contact creditors regarding missing or missed payments.
Identify broken settlements and notify Customer Service and Settlement teams.
Identify settlements at risk due to client balances; escalate to Customer Service.
Communicate with creditors regarding broken settlements or client-specific special circumstances (delays, skips, renegotiations).
Support the resolution of NSF, C2C, and On-Hold clients who have funds available.
Send or resend LOAs to creditors via email, fax, or Letterstream.
Notify clients at risk of broken settlements (WhatsApp).
Contact clients to secure settlement approvals through phone, email, SMS, or WhatsApp.
Notify clients of broken settlements and request additional funds when needed.
Perform weekly settlement payment reconciliations for RED (DFUSA-N, DFUSA-O).
Complete weekly GREEN payment reconciliations for pending or delayed transactions.
Reconcile MerchantOne → PayARC → Chase DAX account.
Monitor scheduled daily and weekly settlement payments.
Contact creditors to identify payments at risk and confirm payment status when delays occur.
Process deposits as needed (back-up).
Reconcile settlement payments to creditors.
Analyze accounts flagged by Customer Service (NSF, On-Hold, C2C) to evaluate settlement opportunities.
Contact clients for settlement approvals when required.
Send LOAs on behalf of the Settlement team and during the onboarding process (back-up).
Handle ICL/ACH exceptions for CFTPay (DFLLC | DF-CFLN).
Submit BillPay requests to Comptroller for DFUSA.
Cancel settlement agreements due to insufficient funds or lack of client response.

Request, receive, and track Zero Balance Letters.
Update creditor account status in DebtManager from S70 to S80.
Update Earned Revenue Reports for DFUSA/DF.
Complete CDP Settlement Revenue reconciliation.
Reconcile FLP and VLP legal plan revenue.
Reconcile Received vs. Earned Revenue (DAX – DFUSA).
Reconcile Received vs. Earned Revenue (CFTPay – DEBT FREE / DF-CFLN).
Perform Recoup Fee reconciliation.
